Get started
- Sign in to your workspace
Sign in to use your workspace. Each user of the workspace signs in with an e-mail address or a username, and a password.
- Accept an invitation
An administrator of a workspace can send you an invitation e-mail. Accept the invitation to become a user of the workspace.
- Reset your password
If you do not know your password, ask for a reset link. This is possible only for a user who signs in with an e-mail address.
- Set a new password
Use the link in the reset e-mail to set a new password. First ask for the link. See Reset your password.
- Type dates and amounts quickly
Date fields and amount fields accept short forms. When you leave the field, it shows the full value. The server checks each value again.
- Change your password
Each user can change his or her own password. Sometimes the system asks you to change the password after you sign in.
- Protect your account with an authenticator app
Use the Security page to protect your account. An authenticator app on your phone gives a new 6-digit code every 30 seconds. With the app, a person who knows your password still cannot sign in.
- Set up the second sign-in step when it is required
Your administrator can make a second sign-in step necessary. Then you must set up an authenticator app or a passkey before you can use the workspace.
- Use the home page and the top bar
The home page is the first page after you sign in. The top bar and the navigation are on all pages of the workspace.
- Change the language, the theme and the menu position
Each user can change the language and the colours of the screens. The button is in the top bar and on the sign-in page.
- Change the working company or branch
The top bar shows the working company, for example Al Noor Traders. The pages of the company, for example the chart of accounts, show the data of the working company. When you have a role for a branch only, the top bar also shows the branch code.
- Change the number and date formats
Each user can choose how numbers and dates show on the screens. Your choice applies only to you.
- Use the notices
The system sends notices to you, for example when an export file is ready. The notices are in the Notifications bell in the top bar.
- When the workspace is read-only or suspended
The Taraazu support team can change the status of your workspace, for example when the subscription ends. The workspace then shows a banner or a message.
- Planned maintenance
Sometimes the Taraazu team must stop the service for a short time, for example for an update. The team tells you before.
Users and roles
- Manage the users
The Users page shows the users of the workspace and their roles. You need the permission View users to open the page.

- Accept the role updates
A new release can change the standard roles, for example when a new part of the product comes. A role of your workspace that is a copy of a standard role then gets an update. The Role updates page shows the updates. Nothing changes in a role until you accept the update.
- Make or change a role
On this page you see, make or change a role. To make a role, you need the permission Create roles. To change a role, you need the permission Edit roles.
Accounting
- Manage the chart of accounts
The Chart of accounts page shows the accounts of the working company. Each company has its own chart. You must have the View the chart of accounts permission to see the page.
- Choose the posting accounts
Automatic postings use the posting accounts, for example the default cash account or the account for rounding differences. The Posting accounts page shows the account of each posting role of the working company. You must have the View the chart of accounts permission to see the page.
- Correct a posted document
A posted document never changes. To correct a posted journal voucher, receipt, payment, transfer or party set-off, use Correct. The correction stays in the month of the original, so the original, its reversal and the correction show together in the ledgers and the statements.
- See the fiscal years
A fiscal year has 12 months. Each posting has a date, and the date must be in a fiscal year of the company. The Fiscal years page shows the fiscal years of the working company and the status of each month. You must have the View the fiscal years and months permission to see the page.
- Lock and reopen the months
A locked month protects the books: nothing can be posted into it, and no draft can have a date in it. The Month end page shows the months of the working company that are open or reopened, and the last locked months. You must have the View the fiscal years and months permission.
- Correct the drafts that did not post
The system posts the drafts of a company automatically. A draft posts when its date is a number of days in the past (7 days by default). This applies to journal vouchers, receipts, payments, transfers and party set-offs. The Posting exceptions page shows the drafts that the automatic posting could not post, with the reason.
- Enter the opening balances
The opening balances are the balances of the company on the day before it starts to use the product. They include the money in cash and in the bank, the amounts that customers owe, the amounts that the company owes to suppliers and employees, and the capital. You must have the View the opening balances permission to see the Opening balances page.
- Make and post a journal voucher
A journal voucher records an entry that is not a receipt or a payment, for example a correction, an accrual or a transfer between two accounts. You must have the View journal vouchers permission to see the Journal vouchers page.
- See the account ledger
The account ledger shows the posted entries of an account, with the opening balance, a running balance and the closing balance. You must have the View ledger reports permission to see the Account ledger page.

- Add or change a party
You must have the Add parties permission to add a party, and the Change parties permission to change it. A user without these permissions sees the party, but cannot change it.
- Manage the territories
A territory is a sales area of the company, for example a region of the country or a part of a city. The territories make a tree of up to four levels. Each customer can be in one territory. A company that sells only at the counter does not need territories.
- Manage the party groups, tags and towns
The Party setup page has three tabs: Groups, Tags and Towns. You must have the Manage party groups, tags and towns permission to change the lists.
- Set off the balances of a party
A party can have two or more roles, for example a customer and a supplier. Each role has its own balance. A set-off moves an amount between two roles of one party. For example, Ali Traders owes you 100,000 as a customer, and you owe Ali Traders 60,000 as a supplier. A set-off of 60,000 makes the supplier balance zero and the customer balance 40,000.
Cash and bank
- Collect cash on a phone
The Collect cash page is for a field agent. The agent visits the customers, receives cash and records each receipt on a phone. Each receipt goes into the agent's own cash register.
- Record a receipt
A receipt records money that comes into a cash or bank account. For example, a customer pays an invoice, a supplier returns money, or the bank pays profit.
- Record a payment or an expense
A payment records money that goes out of a cash or bank account. For example, you pay a supplier, pay a salary advance to an employee, or pay an expense such as electricity.
- Move money between accounts
A transfer moves money between two cash or bank accounts of the company. A transfer does not change the profit. For example:
- Manage cash and bank accounts
The Cash and bank accounts page shows the accounts of type cash and bank of the company, with the balance today. Receipts, payments and transfers use these accounts.
- Give a user a cash register
A cash register shows how much cash a person holds. The main register is the main cash account of the company. An agent register is a cash account of one user, for example a field agent who collects money from customers.

- Import data from files
The Data import page brings the data of a company from files: the statement lines, the chart of accounts, the posting accounts, the territories and the parties. It also opens the import of the users of the workspace. A file changes nothing until you select Import.
- Export all the data of your workspace
The Data export page makes one ZIP file with all the business data of your workspace. Use the file to keep a copy of your data, or to move your data to another system. Only a workspace administrator can export the data.
- Migrate a company from files
A migration brings a company from another system: the chart, the parties and the opening balances at one date, the cutover date. The work in the product starts on the next day. Open Settings, Data import, then Open the migration.
- Statement lines file
The file Statement lines (statement_lines) gives the lines of the balance sheet and the income statement of a company. Each posting account of the chart goes to one line without lines under it.

- Supplier open items file
The file Supplier open items (supplier_items) gives the open items of each supplier at the cutover date, for example the bills that the company did not pay. The items go into the lines Party balances of the draft opening balances, on the control account of the suppliers.
- Source trial balance file
The file Source trial balance (source_trial_balance) gives the trial balance of your source at the cutover date. The system compares it with the opening balances (the checks R-02, R-04, R-06 and R-08). It writes nothing into the company. The file is optional. Without it, a workspace administrator must confirm the check R-04.
