Correct the drafts that did not post
The system posts the drafts of a company automatically. A draft posts when its date is a number of days in the past (7 days by default). This applies to journal vouchers, receipts, payments, transfers and party set-offs. The Posting exceptions page shows the drafts that the automatic posting could not post, with the reason.
How the automatic posting works
- The system starts the automatic posting each night at 01:00, for each company.
- The system posts a draft only when all the checks of a posting pass. These are the same checks as when you select Post yourself.
- The document gets its number. The history of the document shows "Posted automatically", by the system.
- A draft that cannot post stays a draft. It shows on the Posting exceptions page. The system tries again each night.
- A draft is not an exception before its date of automatic posting. Before that date, the draft page shows the reason under Cannot post now.
- With the setting "When the draft is saved", the system tries to post the draft each time a user saves it.
The company settings tell when a draft posts. Refer to Change the settings. A change of the setting applies to new drafts only. A draft that exists keeps its rule, also when a user saves it again.
Who sees the page
- A user with the View the posting exceptions permission sees all the drafts of the company that did not post. These users get one notice each day when drafts did not post.
- Another user sees only the drafts that the user made. This user also gets a notice when one of these drafts did not post.
Select the notice to open the page. The page opens in the company of the notice.
Correct a draft
- Open Accounting › Posting exceptions.
- Read the reason of the draft. The reason is the same message that you see when you post the draft yourself.
- Select the row. The draft opens.
- Correct the problem. For example, make the debit and credit totals equal.
- Select Post, or wait for the next automatic posting.
If the draft is not necessary, delete it. The draft goes off the page when it is posted or deleted.
Note: a payment or a transfer that makes a cash balance negative stays a draft when the company setting is Warn (the user confirms). The system cannot confirm the warning. Post the document yourself and confirm the warning.
The count in the menu
The menu item Posting exceptions shows the number of drafts that wait. The number is for the working company.
